Creating an Event

  1. Select the button labeled New Event

  2. The Edit an Event screen will open

  3. To add recipients to the To, Optional, or Inform fields, select the Open Address Book button on the blue bar at the top of the page.

  4. The address dialog box will appear above the To field.

    Use the drop-down box next to Displaying to change to the different address books. The My Domain address book accesses all on-campus email addresses.

    Search different address books using the "Displaying" drop-down list.

    Select the people you would like to invite and click on the To button. Multiple people may be invited by using the Ctrl key and clicking once with your mouse to select the names. The Optional field is equivalent to CC when composing a message. The Inform field is equivalent to selecting Bcc when composing a message.

  5. Type in a description for the event and the location

  6. Select the start date and time and the duration. If you would like to check the recipients' availability, based on what he has entered into his calendar, click on the Show Availability button.

  7. Selecting the Show Availability button will display the free time schedule and allow you to keep track of meeting responses.

    Busy time will display on the calendar using colored bars.

    • Pink = Busy
    • Yellow = Tentatively Scheduled
    • Blue = Unavailable
    • White = Available

    Notice the pink area above from 16:00 to 16:30 indicating a busy time.

  8. If the meeting recurs, select the frequency from the Recurrance? drop-down and click the Add button.

  9. Select the All-Day Event checkbox if the calendar entry is an all day event.

  10. Type in additional information in the body of the message.

  11. You may attach up to 6 documents. Keep in mind that all email messages have a maximum size of 6MB.

  12. Click the Save button.
