Filtering Messages/Creating Rules

Using the Filter button on the right of the mailbox (as described in Searching for Messages) temporarily filters messages for viewing purposes only.  To set up a rule-based filter that will evaluate all incoming messages, use the Filters button to the right of the Compose button in your main Inbox page.

  1. Type a name for the Rule.

  2. Push the Create button. Note: Multiple rules may be created for the mailbox.

  3. Determine Priority level by selecting from the drop-down list.  Higher priority rules apply before lower priority rules.  A higher priority is identified with a higher number (5 is a higher priority than 4). Click the Edit link.

  4. Add criteria for your filter/rule, then click the Update button in the top left corner.

    Please note that the Action Parameter for the "Store in" option must have the syntax of "user_name/mailbox_name."

    For example, the parameter ~jdoe/JunkMail will store mail in the folder titled JunkMail for John Doe, whose user name is jdoe.

    Tip: ~user_name is not required for creating rules in your own mailbox (for example, John could just use JunkMail in his mailbox), but is required when sharing or importing folders.

  5. Additional criteria may be set for the rule.  Always click the Update button when adding parameters (a new action field and parameter field will display) and before closing.  The discard parameter is typically the last action in a rule.

  6. When complete, close the windows by clicking the close window icon in the upper right corner of the mailbox window.

Vacation/Out of Office

  1. Select the Filters button as described in "Creating Filters" above.

  2. Begin typing a message in the Message Text field

  3. Just before you leave on vacation, select the Enable Vacation Message button

  4. When you return from vacation, select the Disable Vacation Message button.

    Note:  Also remember to Clear Replied Addresses List (the people who received your out of office message). The list will fill up after 500 messages - remember to clear the list each time you disable the vacation message.

Redirecting Mail to another Mailbox

If you prefer to read your mail using another email address, you have the option to redirect your mail.

  1. Select the Filters button as described in "Creating Filters" above.

  2. Select the Enable Mail Redirection checkbox. (De-select the checkbox to turn off this option.)

    Redirection Text: Type the email address(es) to which you want mail redirected. If typing multiple addresses, separate them with a comma.

    Keep a Copy of Messages: Select this option if you want to see the email that is being redirected. The default is to not keep a copy.
